GUEST BOOKING TERMS AND CONDITIONS

This document defines the general reservation and payment terms relating to bookings made with Isbreen The Glacier AS (hereinafter referred to as “ITG”) with Norwegian reg. no. 913 347 145, whose registered office is Isbreen The Glacier AS, Saltnesveien 8, 9163 Jøkelfjord, Norway.

1 INTRODUCTION

1.1 The following sections outlines our terms and conditions (the “T&Cs”). These T&Cs govern al bookings made with ITG, either directly via ITG’s own reservation services, such as theglacier.no, or via third party reservations.

2 BOOKINGS

2.1 By completing a booking and paying the applicable fee(s) in accordance with Section 3, you acknowledge and accept the T&Cs and confirm that you have read and understand the ITG Privacy Policy. You furthermore confirm that you are of legal age (18 years) and/or are authorized to enter into this binding contract with ITG.

2.2 Bookings are non-transferrable and non-refundable in accordance with the cancellation limitations defined in section 6 below. Name changes are only permitted upon ITG’s express written confirmation.

3 PAYMENT

3.1 Upon booking a stay with ITG, you are required to pay 25% of the total fee. The booking is not binding or otherwise secured until such fee has been paid, and upon your receipt of a written booking confirmation.

3.2 For the following seasons, the remaining 75 % booking fee shall be paid in accordance with the below deadlines. Any bookings made later than the below time limits shall be made in full. Payments are made online via theglacier.no or by bank/wire transfer 4740 14 59630 / NO3747491459630.

(a) 4 weeks before the arrival date for Winter Guests (October – May).
(b) 3 weeks before the arrival date for Summer Guests (June – September).

3.3 You are solely responsible for any additional surcharges made by third parties, including your financial institution.

3.4 ITG reserves the right to adjust the prices (before and after a booking has been completed) as a result of changes in costs due to increased taxes and fees or other conditions outside of the ITG’s control.

4 ACCOMMODATION 

4.1 ITG offers the following igloo types: twin and double.

4.2 Maximum occupancy per room is two persons, the only exceptions are for children as listed below

(a) Under the age of 2 (extra fee of NOK 250 for Children’s bed per night, availability has to be arranged and agreed upon before arrival)

(b) Between the ages of 2 and 10 (extra fee of NOK 750 for extra bed and meals, availability has to be arranged and agreed upon before arrival)

4.3 There is an 18-year age limit. ITG reserves the right to cancel the booking if no valid ID can be produced.

4.4 Child policy – Please notify us in advance if you plan to bring children under the age of 18. Some activities might be prone to age limits and we need to inform and consult our partners before we can confirm your booking.

4.5 ITG holds a public license for sale of alcohol. You are prohibited from consuming alcohol purchased from third parties (or off-premises) in public areas (including terrace, spa and hot tub). Exception is only made for Igloos.

5 TRANSFERS

5.1 ITG offers transfers from Alta Airport to Isbreen The Glacier.

(a) Adults NOK 850 one way
(b) Children under the age of 16 NOK 400 one way
(c) Students holding a valid student ID NOK 400 one way

5.2 You are responsible for arranging pick-up and drop-off when booking your stay at ITG.

5.3 In case of closed roads or other delays causing you to miss your scheduled flight or other further transportation. ITG will do its utmost to assist with arranging alternative transportation/solution. ITG is not responsible for any additional costs.

5.4 Pick-ups and drop-offs at other locations are possible but has to be arranged with ITG upon booking.

6 CANCELLATIONS

6.1 ITG reserves the right to cancel bookings for the following reasons:

(a) Erroneous or mistyped rates, of which ITG instead may choose to correct the charge, subsequent to getting in touch with you via the contact information that you have provided
(b) Failure to meet any payment terms.

6.2 Cancellations made by ITG in accordance with above subsection (a), entitles you to full refund for any payments made to ITG in accordance with these T&Cs. No refund is made in connection with cancellations in accordance with subsection (b) above.

6.3 You may always cancel your booking(s) upon providing notification to ITG. No deposit payments will be refunded. You are also obligated to pay the whole booking fee, unless you provide cancellation notice in accordance with the following requirements:

(a) Within 28 days prior to the first date of the booking during Winter Season (October-May);
(b) Within 21 days prior to the first date of the booking during the Summer Season (June – September)

(c) Within 21 days prior to the first date of the booking for special deals, packages and bookings with a value exceeding NOK 35,000;

6.4 Any conditions, warranties, representations and other terms, which might otherwise be implied by law, are excluded.

6.5 ITG shall not be liable for any direct or any indirect or consequential losses, including but not limited to, cost associated with flights, rental cars, other hotels, and similar, loss of profits, loss of sales, loss of business, business interruption, loss of business opportunity, goodwill and/or reputation or any other damages arising out of or in any way connected with your booking or stay with ITG.

7 ACTIVITIES

7.1 ITG offers certain paid activities. Activity bookings are binding. Upon booking activities, you are obligated to pay for the activity in full unless cancelling such booking 24 hours before the activity is to take place. This applies irrespective if the activity is prepaid.

7.2 You must inform ITG of any special medical needs, allergies or dietary requirements at the time of booking activities.

7.3 ITG will always strive to carry out trips as advertised. However, certain activities are weather dependent. In case of bad weather, ITG will try to offer an alternative activity. The same applies in the event an activity is cancelled due to ITG’s own fault. In such case, you are free to dismiss the alternative activity offering and claim a refund, if prepaid. ITG is not obligated to offer alternative activities in the event you are unable to attend due to illness or injury.

7.4 You understand and accept the risks involved with all of the activities of your trip. You understand and accept the risks and you do so at your own risk and responsibility.

7.5 It is your own responsibility to ensure adequate insurance coverage for any of ITG’s offered activities. Your insurance must cover you for all of the activities as well as travel and personal insurance. You must ensure you have adequate cover for search, helicopter rescue and repatriation in the event of a medical emergency.

7.6 ITG is not liable or otherwise responsible for any damage, loss or cost associated with:

(a) Weather or any other unforeseeable or unavoidable conditions;
(b) Illness, injury or death sustained during a trip, activity or similar;
(c) Loss of personal belongings.

7.7 ITG might take photographs and video of certain activities and trips. You agree to permit ITG to take photographs and videos of you (and any person you represent) for marketing purposes, without requesting any additional permission from you. ITG use of such materials shall be free of charge. You agree to assign to ITG any rights you might have to such materials.

8 LATE PAYMENT AND LIABILITY IN THE EVENT OF DAMAGE

8.1 In case of outstanding/late payments, ITG retains the right to claim an 8.5 % annual interest rate, or the maximum applicable national statutory interest, whichever is greater.

8.2 If you, or whomever you represent, are responsible for any damage to ITG property resulting from negligent or irresponsible behaviour ITG will require full coverage of the damage according to independent appraisal of the damage.

8.3 All indoors facilities at ITG are non-smoking. In case of infringement of this rule, ITG will claim a standard NOK 2,000 fee for extra cleaning of the room except for the Igloos.
The igloos are made of fabric canvases and any cleaning of these will require full disassembly of the igloos and sending the canvas/-es to cleaning. The fee for cleaning the canvases are NOK 10 000 plus NOK 5000 for each day the igloos are inoperative due to these circumstances.

9 MISCELLANEOUS

9.1 No animals are allowed at ITG.

9.2 While every effort has been made to ensure the accuracy of all advertising materials and information, ITG cannot be held responsible for any inaccuracies.

9.3 Any complaints regarding ITG trips must be made immediately at the time of the stay. If you feel that your complaint has not been properly dealt with, you must notify ITG in writing within 30 days of the end date of your stay.

9.4 This Agreement shall in all respects be governed by and construed in accordance with the laws of Norway.

9.5 Any dispute arising out of or in connection with this Agreement shall be amicably negotiated between the Parties and, failing resolution, shall be referred to and finally resolved in Nord-Troms tingrett (district court).
